2010 RULE BOOK

SECTION 4 - TRACK RENTAL POLICY

4.1 The track may be rented up to 6 times in 2010 be between the dates of April 1, 2010 and October 1, 2010. Once the track has been rented 6 times, it will not be available to be rented again in 2010. Organized race events or track scheduled practice dates are not included in the 6 practice maximum.

4.2 FEE – The fee to rent the track is $500. The track will be available for 4 hours. Rental may only be held on Saturday or Sunday and must be scheduled within the hours of 11am and 4 pm.

4.3 Track insurance, a licensed EMT, and fire extinguishers must be on hand at all times during rental and is included in the rental fee.

4.4 A working cell phone must be on hand at all times during rental. This will be checked before a car is let onto the track.

4.5 At least one track representative must be on hand during rental. That representative will keep the track in suitable condition for practice, and will monitor all aspects of the rental to be sure requirements are met.

4.6 Scales may be turned on at renters request.

4.7 Rental may be split by up to 10 teams at equal cost to each team.

4.8 ONLY ONE CAR WILL BE PERMITTED ON THE RACING SURFACE AT A TIME! Rental time starts when the first car goes onto the track and will end promptly 4 hours later.

4.9 Rental Fee must be paid in full at least 24 hours prior to rental. Cancellations must be made at least 24 hours prior to rental.

4.10 RAINOUTS – Renter may postpone rental to another date due to rain provided request to do so is made at least 2 hours prior to rental start time. If a prolonged rain occurs after the rental has begun that prevents the renter from getting the entire rental in, renter may choose to reschedule their remaining time (must be 1 or more hours), or may request a refund. Refunds will be pro-rated by the half hour. Any part of a half hour used will be charged for (example: Rains after 1 Hour and 10 Minutes of rental, renter would be charged $187.50 for 1.5 hours, $312.50 would be returned to the renter). Refunds will be made by check within 7 days of rental.

4.11 SCHEDULING – It is up to the racers to coordinate among themselves any group agreement to rent the track. They must elect one representative to contact the track and schedule the rental, as well as make any decisions regarding cancellation or refund. A complete list of teams including contact name phone number must be given to track at time of payment of rental fee. 4.12 WAITING LIST – Teams not wanting to pay the entire rental fee, but desiring to be part of a group of teams to split the cost, may contact the WVMP office to be put on a “Waiting List”. If someone rents the track and would like others to split the cost, we will go down the list in order of date and time added to the list until the renter's desired number of teams has been met. If you do not desire to participate on the renter's chosen date, you will retain your spot on the list. If you choose to participate in the rental, your name will be removed from the list and you will have to re-enlist.
